Information for Participants

　The 36th Annual Meeting of the Japanese Society for AIDS Research will be held in a hybrid format consisting of an onsite meeting (at Act City Hamamatsu, Hamamatsu, Shizuoka) and online (live streaming & on-demand) sessions.

Information for Participants

1. Registration

Early Registration period: August 9 (Tue.) – October 18 (Tue.), 2022 at noon (12:00, JST).

2. How to participate

< Onsite >

Once you have completed your online registration, please print out your registration certificate or have it available on your device. When you arrive at the venue, please scan the QR code on your registration certificate at the QR reader, and a reception desk staff will give you your name card.

Please have your registration ID and password ready and join the online meeting platform from the Annual Meeting website.
Important note: Audio and/or video recording, filming and/or printing out of any presentation including screen capturing of the presentation on your computer or any other device is strictly prohibited. Unauthorized copying and replication of any presentation is also not permitted.

Online & On-demand Streaming

In addition to the onsite presentations and live streaming, certain sessions will also be available on-demand. Please check the Annual Meeting website for details on the applicable sessions.
General abstract (oral/poster) presentations will not be presented onsite; the pre-recorded videos (with audio) of these presentations will be available on-demand.

3. Program and Abstract book

Abstracts will be available for all registered participants to view on the online conference platform. The abstract book (JPY6,000 plus tax) will be available for purchase by non-members who are interested, onsite (at the Japanese Society for AIDS Research Desk, 1F Lobby, Congress Center) or by contacting the secretariat of the Japanese Society for AIDS Research by email or FAX.

4. Cloakroom (Onsite)

Note: Please kindly note that valuables, umbrellas, or computers are not accepted. Please keep these belongings with you.

5. Luncheon Seminar (Onsite)

A ticket is required to attend the individual luncheon seminars onsite. On the day of the seminar, please pick up a free ticket at the ticket distribution desk. The tickets are limited and distributed every morning on a first-come, first-served basis. Please kindly note that tickets for luncheon seminars will be invalid 5 mins after the seminar starts. There will be no tickets distributed for "Tea-time seminars."

6. Exhibition

An exhibition by companies will be held in the 3F and 4F lobbies, and an exhibition by NGO and other organizations will be held in the foyer of the Main Hall, 2F.

7. Requests to participants

• Smoking is not permitted in the venue. If you wish to smoke, please use one of the designated smoking areas.
• Please be sure to turn off your mobile phone or set it to silent mode, and refrain from making phone calls inside the lecture halls.
• The use of any recording device, either audio or video, or taking of photographs without permission is strictly prohibited, including both onsite and online/on-demand sessions.
